Clients send documents in twenty different ways and we chase them for weeks

The problem, in their words

We are a chartered accountancy firm. At filing time clients send documents over email, WhatsApp, and sometimes as photographs of paper. My team spends more time chasing and renaming files than doing the actual work. I want each client to be asked for exactly what is missing, and to be reminded, without a person doing the chasing.
