We make spectacles to order, usually a three to five day job. Customers call through the day to ask whether theirs is ready, and my staff stops work to check the register every time. Some days that is thirty calls. I want customers told the moment their order is ready for pickup.

Customers ask the same sizing and fabric questions on every order
We are a small label selling online. Before buying, almost every customer asks the same things about sizing, fabric, care and delivery time. Answering them is most of my day and if I am slow the sale goes cold. I want those answered instantly and accurately, with anything unusual coming to me.

We are a mid sized firm. Prospective clients call and describe a matter at length. Often it is not something we handle, or it is outside our jurisdiction, but a lawyer has already spent twenty minutes finding that out. Retailers order over phone and my team enters everything by hand
We supply around two hundred retail pharmacies. Orders come by phone call and WhatsApp and my team types every one into our system. Errors are frequent and expensive when it is medicine. I want orders taken accurately without a person retyping them, with the retailer confirming before it goes through.

Enquiries need custom itineraries and each one takes half a day
We put together bespoke trips. Every enquiry wants a tailored itinerary, and building one takes half a day of my team’s time whether or not the client books. I want a solid first draft itinerary produced from the enquiry details, so my team edits rather than starts from a blank page.

Follow up appointments get forgotten and treatment courses go incomplete
Most of our treatments are a course of sessions spaced weeks apart. Patients forget the next one, we forget to remind them, and the course goes incomplete, which is bad for the result and bad for us. We process a high volume of tests daily. Patients and their families call to ask whether a report is ready, and our reception cannot handle the volume alongside walk-ins. I want patients told automatically the moment a report is ready, with a secure way to collect it, and the routine calls to stop.

Enquiries for shoots come in and I lose them in my inbox
I run a photography studio doing weddings and brand work. Enquiries arrive through Instagram, email and referrals. I am usually on a shoot when they come in and I genuinely lose some of them. I want every enquiry acknowledged immediately with our packages and availability, and collected in one place I can work through in the evening.

Customers call all day asking where their consignment is

Every enquiry needs an hour of my time before I know if it is real
We do full home interiors. Every enquiry gets a long conversation about scope, budget and timeline before I know whether it is a project worth quoting for. Most are not. I want that first conversation handled properly so I only spend my time on enquiries that are within our range and ready to move.

Clients send documents in twenty different ways and we chase them for weeks
We are a chartered accountancy firm. At filing time clients send documents over email, WhatsApp, and sometimes as photographs of paper. My team spends more time chasing and renaming files than doing the actual work. I want each client to be asked for exactly what is missing, and to be reminded, without a person doing the chasing.

Half my consultation slots are wasted on questions the website answers
People book a paid consultation and then use it to ask what a treatment costs, how many sessions it takes and whether it hurts. That is a wasted slot for a clinician. I want those questions answered properly before booking, so the consultations we do run are with people who are ready to start.

Service reminders go out late and customers service elsewhere
We are an authorised dealership with a large service book. Reminders for periodic service are sent manually from a spreadsheet and they slip, so customers go to a local garage instead and we lose both the service revenue and the relationship. Wedding season orders come on WhatsApp and measurements get mixed up
During wedding season we take hundreds of orders for blouses and lehengas over WhatsApp. Measurements go into a notebook and every season a few get confused between clients, which for a bridal order is a serious problem. I want orders captured properly with name, measurements, fabric and delivery date, in a list my tailors can actually work from.

Members stop coming after six weeks and we only notice when they quit
We have around four hundred members. People join with real intent, come well for a month, then drift. We find out only when the renewal lapses. I want to know who has gone quiet while there is still time to do something about it, and for those members to hear from us in a way that does not feel like a sales call.

Anxious patients need answers at night and we can only reply in office hours
Fertility treatment is stressful and our patients have questions constantly, often at night. Many are simple and repetitive: what a medication is for, what a result range means, when to come in next. My counsellors answer the same twenty questions all day. I want patients to get accurate answers immediately, with anything clinical escalated to a human straight away.

Customers ask for designs we have in stock and we cannot show them quickly
We hold a large inventory across two showrooms. When a customer asks for a particular kind of set within a budget, my staff has to walk the floor or dig through photographs on a phone. Class bookings and cancellations are eating my studio manager alive
We run twenty two classes a week across three instructors.
